How do I integrate senior housing & care software systems?
Direct answer
Start with source authority, not connectors. Integration fails when it moves data before the organization has agreed what each field means and which system is authoritative for it, because copying three disagreeing sources into one place produces a fourth number. Decide definitions and authority first, then read from the systems you keep, reconcile once under written rules, and record lineage so every governed value can be traced back to the system and ruling that produced it.
The staged workflow, source authority first
Each stage has an exit condition. A stage that has not met its exit condition is not complete, and moving past it is what produces integration projects that never finish reconciling.
- 01Inventory the fields that carry decisions — census, acuity, hours worked, agency spend, rate, revenue, incidents — not the systems. Exit: a written field list with the decision each field drives.
- 02Write one definition per field, including the moment of measurement, agreed by operations and finance. Exit: sign-off from both.
- 03Name the authoritative source per field and the reason it holds authority. Exit: no field with two authorities and none with zero.
- 04Write the reconciliation rule for each field where a second legitimate source exists, and name the role that rules when the rule is inconclusive. Exit: rules and named adjudicators recorded.
- 05Establish read access to the systems you keep, under security review: scope, credentials, retention and audit logging. Exit: completed security review.
- 06Reconcile once under the written rules and preserve competing valid values instead of discarding them. Exit: governed value plus preserved alternates for a sample period.
- 07Record lineage on every governed value — source, definition, rule, ruling, timestamp. Exit: any published figure can be traced end to end.
- 08Declare authorization for automation and AI: what may be read, what may be acted on, what must escalate. Exit: written authorization before any agent runs.
- 09Validate in parallel against the way the number is produced today, then take operator acceptance in writing. Exit: signed acceptance; only then does the governed value publish.
Why the order matters more than the tooling
Connectors, warehouses and interface engines all move data competently. None of them decides which value the business accepts, so a technically successful integration can still leave two defensible census figures in the room. The reconciliation work is done once, under governed rules, instead of repeatedly in spreadsheets downstream.
Both deployment roads stay open. The operator can retain the systems it chooses to keep and govern what they produce, or choose to consolidate selected functions later as a separate, gated migration.
